The Service Delivery Coordinator is responsible for providing logistics and administrative supports to the radar team leads in the Defence Hub. The role involves coordinating deliveries, shipments and procurement activities with the stakeholders in projects and shared services, to ensure that the required services are delivered on time.
Concurrently the Coordinator has a significant role in the In-service support (ISS) maintenance contract to handle service requests, manage deliveries and shipments of materials and equipment, and assisting the Project Manager on administrative tasks.
Responsibilities:
- Provide logistics and project administration support for the Radar projects involving engineering development, ICIT (Installation, Checkout, Integration and Testing) works, maintenance and lifecycle support.
- Coordinate with logistics department, service provider and customer for delivery and shipment.
- Occasional travel to supplier or customer sites to check/prepare delivery
- Manage the projects’ storage room with the various project stakeholders.
- Liaise with Procurement for the team request for quotations.
- Prepare and process Purchase Requisitions (PR) and Good Receipts (MIGO) for project procurements in the SAP purchase order system.
- Assist project team to prepare training materials, documents and other project deliverables.
- Assist to obtain visitors access authorisation from Security department.
- Report to the Service Delivery Manager for In-Service Support (ISS) Contract for the following activities:
- Handle repairs workflow
- Receive failed articles, open work order, sent out to repair agency, monitor repair status, arrange return of repaired articles, close work order
- Handle spare parts and consumables request
- Register request, follow up with procurement for order, monitor procurement lead time, arrange delivery to customer
- Inventory Control and Optimization
- Monitor stock levels and customer needs, manage returns and warranties
- Coordinate Quality Assurance
- Work with QA for the Certificate of Conformity (CoC)
- Service documentation, reporting and meeting
- Update service records, report repairs and spare parts requests status
- Assist PM to track KPI (total 6 items: Repair, RJU Overhaul schedule, Supply of Spare Parts, Supply of Consumables, Technical Assistance Response Time, Obsolescence Management Report);
- Assist PM to generate quarterly and annual report
- Organise and schedule progress meetings with stakeholders
- Track and update events in the TNL service portal
- Handle repairs workflow
- Support Bids Manager to prepare requirements compliance tables during tender phase.
Requirements:
- Diploma in Business Administration, Supply Chain Management or any Engineering related discipline
- 3 to 5 years of experience in supply chain process, handling repairs, spare parts, shipment, inventory, delivery
- Willingness to manage routine project and customer service administration workflows
- Ability to multi-task, switch seamlessly between resolving an urgent issue and processing regular works
- Proficiency in Microsoft Office (Word, Excel, Powerpoint)
- Good communication skills, efficient, detail-oriented, proactive
- Highly organized with strict adherence to deadlines
- Team player with good interpersonal skills
