About the Manager of Clinician Experience, Onboarding and Scheduling role
The Manager of Clinician Experience, Onboarding and Scheduling is the dedicated point of contact for physicians and advanced practice providers from contract signing through their first scheduled shift. This role leads onboarding, training, workflow readiness, and scheduling, and coordinates closely with credentialing, licensing, IT, operations, and hospital partners to ensure every clinician has the training, resources, system access, and support needed to begin working successfully.
The role also oversees nationwide physician scheduling based on contractual requirements, credentials, availability, and shift volume.
Key Responsibilities
Clinician Onboarding and Experience
Serve as the dedicated point of contact for every physician and advanced practice provider from contract signing through their first scheduled shift.
Introduce new clinicians to Sevaro's culture, expectations, communication standards, and on-shift experience.
Build and maintain strong relationships with clinicians throughout the onboarding process.
Track onboarding progress and follow up on outstanding requirements to keep each clinician moving toward scheduling readiness.
Identify onboarding delays and partner with the appropriate departments to resolve them.
Maintain accurate onboarding records, documentation, and status updates.
Training and Workflow Readiness
Train clinicians on Synapse, general clinical shift workflows, and site-specific stroke and consultation processes through individual and group sessions.
Confirm clinicians understand clinical workflows, escalation procedures, documentation requirements, and hospital-specific expectations before their first shift.
Coordinate system access, login testing, and final readiness checks.
Develop and maintain training guides, workflow documents, and quick-reference materials as systems and processes change.
Lead additional or remedial education when the quality team identifies gaps in a clinician's understanding of or adherence to established workflows.
Maintain detailed knowledge of each hospital site's systems, workflows, and clinical requirements.
Credentialing and Licensing Support
Answer clinician questions related to initial credentialing applications, licensing requirements, and hospital submissions.
Assist clinicians with completing required applications and documentation.
Coordinate with credentialing and licensing teams to monitor progress and address delays.
Communicate credentialing and licensing updates clearly and consistently to clinicians and internal stakeholders.
Cross-Department Coordination
Serve as the liaison between clinicians and departmental leaders in credentialing, licensing, IT, operations, quality, and hospital relations.
Facilitate communication between clinicians, internal departments, hospitals, and clients.
Escalate urgent concerns and follow through until resolution.
Identify workflow gaps and recommend process improvements that reduce delays and improve the clinician experience.
Scheduling Management
Manage scheduling for 80+ physicians nationwide based on contractual requirements, credentials, availability, hospital approvals, and shift volume.
Review physician availability and confirm scheduling readiness before assigning shifts.
Ensure physicians are scheduled only at sites where they hold the required credentials and approvals.
Monitor scheduling systems for missing or uncovered shifts and coordinate coverage promptly.
Make scheduling changes when emergencies, callouts, or availability changes occur.
Communicate regularly with physicians regarding schedules, changes, open shifts, and coverage needs.
Maintain accurate records of scheduling changes and adjustments.
Review scheduling patterns and volume to support appropriate physician coverage across all hospital sites.
Coordinate with operations leadership to anticipate future staffing needs and scheduling gaps.
Ensure schedules align with physician contracts, coverage requirements, and operational priorities.
Clinician Support and Issue Resolution
Serve as the primary contact for physician questions and concerns during onboarding and scheduling.
Proactively identify barriers and work with cross-functional teams to resolve them.
Handle physician concerns professionally and maintain trust through clear, timely communication.
Monitor recurring concerns and recommend changes to improve onboarding, scheduling, and physician support.
Performance Management and Process Improvement
Establish and monitor key performance indicators related to onboarding completion, scheduling readiness, physician satisfaction, and shift coverage.
Work toward completing physician onboarding within seven days after credentials and system access are issued.
Review data to identify delays, trends, scheduling gaps, and areas for improvement.
Develop action plans to improve onboarding efficiency, scheduling accuracy, and physician satisfaction.
Continuously evaluate workflows and implement improvements across onboarding, training, and scheduling.
Provide regular updates to leadership regarding onboarding progress, scheduling needs, risks, and outcomes.
Qualifications
Previous leadership or management experience, preferably within healthcare operations, physician relations, staffing, scheduling, onboarding, or a related field.
Demonstrated ability to lead processes, manage competing priorities, and hold team members and stakeholders accountable.
Experience managing complex schedules, staffing needs, or operational workflows.
Strong interpersonal and communication skills, with the ability to build and maintain positive physician relationships.
Strong organizational, time-management, and project-management skills.
Sound judgment and problem-solving skills, with the ability to manage conflict and resolve urgent issues.
Experience working across departments and coordinating with multiple stakeholders.
Ability to review data, identify trends, and make informed operational decisions.
Strong attention to detail and commitment to maintaining accurate records.
Proficiency in Microsoft Office and scheduling, communication, or workflow management systems.
Ability to work independently in a remote environment and respond to urgent scheduling needs when necessary.
Ability to adapt to changing healthcare operations, staffing needs, and organizational priorities.
