PsiQuantum’s mission is to build the first useful quantum computers—machines capable of delivering the breakthroughs the field has long promised. Since our founding in 2016, our singular focus has been to build and deploy million-qubit, fault-tolerant quantum systems.
Quantum computers harness the laws of quantum mechanics to solve problems that even the most advanced supercomputers or AI systems will never reach. Their impact will span energy, pharmaceuticals, finance, agriculture, transportation, materials, and other foundational industries.
Our architecture and approach is based on silicon photonics. By leveraging the advanced semiconductor manufacturing industry—including partners like GlobalFoundries—we use the same high-volume processes that already produce billions of chips for telecom and consumer electronics. Photonics offers natural advantages for scale: photons don’t feel heat, are immune to electromagnetic interference, and integrate with existing cryogenic cooling and standard fiber-optic infrastructure.
In 2024, PsiQuantum announced government-funded projects to support the build-out of our first utility-scale quantum computers in Brisbane, Australia, and Chicago, Illinois. These initiatives reflect a growing recognition that quantum computing will be strategically and economically defining—and that now is the time to scale.
PsiQuantum also develops the algorithms and software needed to make these systems commercially valuable. Job Summary:
The Sr. Administrative Assistant – VP, Quantum Architecture & Business Operations is a highly visible and trusted role providing executive and operational support to the VP, Quantum Architecture, the Head of Business Operations, and PsiQuantum’s Brisbane office. This position serves as a key coordination point between Brisbane-based teams and PsiQuantum’s global organization, helping leaders stay focused on their highest priorities while ensuring effective communication, preparation, and follow-through.
The role manages complex calendars and international travel, coordinates executive meetings and leadership visits, prepares meeting materials, tracks decisions and action items, supports executive communications, and assists with cross-functional business operations initiatives. The Sr. Administrative Assistant will also partner closely with Executive Assistants, Chiefs of Staff, functional leaders, and teams across Australia, the United States, Europe, and other global locations to strengthen the Brisbane office’s integration into PsiQuantum’s global operating rhythm.
Responsibilities:
- Provide high-level executive and administrative support to the VP, Quantum Architecture, while also supporting the Head of Business Operations and the broader operational needs of PsiQuantum's Brisbane office.
- Serve as a key point of coordination for the Brisbane office, helping facilitate strong communication, organization, and alignment between Brisbane-based teams and colleagues across PsiQuantum's global offices.
- Work closely with the VP, Quantum Architecture and Head of Business Operations, and in coordination with members of the Executive Leadership team, Chiefs of Staff, Executive Assistants, and functional leaders, to understand priorities and ensure effective execution and follow-through.
- Be available in person as required to support leadership and on-the-ground activities in Brisbane.
- Manage complex and frequently changing calendars, including prioritizing meeting requests, resolving conflicts, coordinating across global time zones, and ensuring leadership time is aligned with key business priorities.
- Ensure the VP, Quantum Architecture and Head of Business Operations are prepared for key meetings by coordinating agendas, materials, pre-reads, logistics, and relevant stakeholder input.
- Attend assigned meetings, capture minutes, decisions, and action items, and proactively track actions through completion.
- Monitor and coordinate follow-up on priorities and actions arising from leadership meetings, technical discussions, business operations activities, and internal communications, including Slack and email.
- Support executive communications and ensure actions and decisions are effectively communicated to appropriate stakeholders and followed through to completion.
- Arrange complex domestic and international travel, including itineraries, accommodations, ground transportation, meeting schedules, and trip agendas.
- Support visits by executives, technical leaders, partners, and other stakeholders to the Brisbane office, coordinating schedules, meetings, logistics, and related activities as needed.
- Partner with the Head of Business Operations on Brisbane office priorities, planning, coordination, events, leadership visits, and other operational initiatives.
- Assist the Head of Business Operations with tracking key deliverables, coordinating cross-functional workstreams, preparing materials, and following up with stakeholders to help drive operational priorities to completion.
- Act with discretion and professionalism while maintaining effective communication between the VP, Head of Business Operations, Brisbane-based teams, senior leadership, and other departments across PsiQuantum.
- Build strong working relationships with Executive Assistants and administrative partners across PsiQuantum's global offices to ensure alignment and smooth coordination across functions and geographies.
- Help strengthen the integration of the Brisbane office into PsiQuantum's broader global operating rhythm, including leadership visits, team meetings, events, planning activities, and cross-functional initiatives.
- Partner with Brisbane office stakeholders on office-related coordination and activities where administrative, executive, or organizational support is required.
- Work on special projects and initiatives as directed by the VP, Quantum Architecture and Head of Business Operations.
- Complete and process expense reports and related administrative requirements.
- Perform additional duties as assigned.
Experience/Qualifications:
- Education / Certification: Bachelor's degree or equivalent relevant professional experience.
- Experience: Minimum of 5 years of related experience supporting senior executives in a fast-paced, complex organization. Experience supporting senior technical, engineering, scientific, R&D, or business operations leaders is highly desirable.
- Experience working in a startup, high-growth technology company, or similarly dynamic and rapidly changing environment strongly preferred.
- Experience supporting globally distributed teams and executives working across multiple time zones.
- Experience coordinating extensive domestic and international travel.
- Demonstrated ability to operate with discretion, professionalism, sound judgment, and a high degree of confidentiality.
- Experience working autonomously and successfully navigating shifting priorities and limited direction.
- Experience supporting operational projects, cross-functional initiatives, or office operations is desirable.
Knowledge, Skills & Abilities
- Exceptional organizational and time-management skills, with the ability to manage complex and continuously changing priorities.
- Ability to support early morning meetings to align with US Pacific Standard Time (PST).
- Ability to effectively support multiple senior leaders, balancing competing priorities and exercising sound judgment regarding urgency and importance.
- Ability to anticipate needs, identify potential issues, and proactively resolve problems before they impact leadership or the broader team.
- Ability to manage multiple workstreams and drive follow-up and accountability across stakeholders.
- Comfortable coordinating across Australia, the United States, Europe, and other global locations and time zones.
- Strong attention to detail while maintaining speed, flexibility, and sound judgment.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and demonstrated ability to build trusted relationships across all levels of an organization, including senior executives, scientists, engineers, business teams, and external stakeholders.
- Ability to assess and appropriately handle sensitive queries, requests, and issues.
- Highly resourceful, collaborative, and comfortable operating independently.
- Willingness to occasionally support time-sensitive matters outside standard Australian business hours due to the global nature of the organization.
- Interest in learning about and ability to follow discussions involving quantum computing, semiconductor technology, engineering, scientific, technical, commercial, and business operations topics. Technical expertise is not required, but intellectual curiosity and comfort working alongside highly technical teams are important.
- High level of proficiency with Microsoft Outlook, Excel, Word, and PowerPoint, as well as modern collaboration and communication tools.

The range below reflect the target ranges for a new hire base salary. Actual compensation may vary outside of these ranges and is dependent on various factors including but not limited to a candidate's qualifications including relevant education and training, competencies, experience, geographic location, and business needs. Base pay is only one part of the total compensation package. Full time roles are eligible for equity and benefits. Base pay is subject to change and may be modified in the future.
