Senior Associate, Trucking & Warehousing Associate

The Opportunity

This role reports to the Manager, Trucking & Warehouse (based in Ho Chi Minh City) and is a senior, high-autonomy position: you are expected to be the go-to person in Hanoi, capable of resolving day-to-day issues independently, and proactively improving how the team works 

Daily Operations & Execution

• Coordinate domestic trucking bookings: trucking only, or trucking attached to ocean and air shipments across Vietnam, including EXW pickups, port runs, and cross-dock moves.
• Fulfill ad-hoc trucking, CFS, and storage service requests from internal teams and clients.
• Track shipment and warehouse milestones, ensuring Flexport systems are updated accurately and KPIs are met.
• Act as the first point of contact for on-site issues in Hanoi, resolving delays, exceptions, and service issues directly with vendors and warehouse operators before escalating.

Warehouse & CFS Operations

• Liaise with CFS/warehouse vendors to ensure service quality, safety compliance, and cost efficiency.
• Identify operational bottlenecks in warehouse workflows and recommend practical improvements.

Vendor Management

• Maintain and grow relationships with domestic trucking, CFS, and warehouse vendors in the Hanoi/Northern Vietnam region.
• Lead vendor onboarding, including collecting documents, negotiating rates, and building service profiles.
• Own and maintain the domestic trucking and CFS rate database, keeping Flexport's systems accurate and up to date.
• Monitor vendor performance, flag quality or reliability issues, and drive corrective action.

SOPs, Reporting & Process Improvement

• Design, document, and maintain SOPs for daily trucking, CFS, and warehouse operations at the Hanoi site.
• Build and maintain regular operational reports and dashboards to track performance, cost, and service KPIs.
• Proactively identify opportunities to automate repetitive tasks or build lightweight tools/platforms that improve team productivity.
• Share best practices and process documentation with the wider team to standardize ways of working across locations.

New Business Support

• Support RFQ responses for domestic trucking and CFS/warehousing by gathering vendor rates and capacity information.
• Partner with the Manager, Product team (Ocean/Air), and Demand team on solution design and costing for new client opportunities.
• Prepare rate sheets and trucking/warehousing lane summaries for client proposals.

Work Arrangement & Travel

• Full-time, on-site role based at the Flexport Hanoi office.
• Periodic travel to Ho Chi Minh City (e.g., quarterly, or as needed) for alignment with your manager and the broader Operations team; occasional site visits to trucking/CFS/warehouse partners in the North.

What We're Looking For

• Bachelor's degree in logistics, supply chain, business, or a related field.
• 3–5+ years of experience in trucking, freight forwarding, warehousing/CFS, or logistics operations, with at least 1 year in a role requiring independent ownership.
• Hands-on experience with warehouse and CFS operations is required; experience setting up or improving CFS workflows is a strong plus.
• Demonstrated experience building or improving SOPs and operational reporting in a previous role.
• Genuine interest in automation and process improvement — comfortable with Excel/GSheet formulas, macros, or basic tools/scripts; experience with TMS or building simple internal tools is a plus.
• Familiarity with Vietnam's domestic trucking and warehousing/CFS market, especially in the Hanoi/Northern region.
• Fluent working English (able to lead calls and written communication with overseas teams).
• Proactive, solutions-oriented communicator who flags problems early and drives resolution without needing close supervision.
