What you’ll do
We are seeking a Workplace Associate to join our Workplace Team in London, reporting to our Global Workplace Manager. In this role, you will oversee workplace operations across our London, Paris, and Vilnius offices, ensuring a consistent, high-quality employee experience across all three locations.
You will be responsible for the day-to-day activities that keep our workplaces clean, functional, organized, and running smoothly. You will work closely with HR, IT, Security, Facilities, and local vendors to support office operations, resolve issues, and help build a culture where employees feel genuinely supported at work.
Key responsibilities
- Oversee day-to-day workplace operations across our London, Paris, and Vilnius offices, ensuring consistent standards and employee experience across all three locations.
- Ensure offices are clean, organized, and fully functional at all times.
- Order, receive, inventory, and stock snacks, beverages, and office supplies.
- Pick up, sort, and distribute daily mail; receive, log, and notify employees of incoming packages.
- Review, respond to, and resolve requests submitted via Jira tickets or the Office Email Alias.
- Maintain meeting room cleanliness and readiness throughout the day.
- Continuously review and improve operational procedures to maximize space utilization, equipment use, and waste reduction.
- Partner with the Regional Workplace Lead to develop, maintain, and activate site-specific Emergency Action Plans.
- Assess workplace maintenance needs and coordinate services, including janitorial and repair vendors.
- Support onboarding and offboarding logistics in coordination with HR, IT, and Security.
- Coordinate office reorganizations and moves in partnership with the Regional Workplace Lead and other Workplace team members.
- Support internal communications around operational changes, events, and workflow updates.
- Provide proactive and responsive support for both routine and emergency workplace needs.
- Build a positive onsite culture and employee experience through an employee-first approach.
- Organize onsite office events and coordinate the annual events calendar across the region.
What we’re looking for
- Strong interpersonal and communication skills, with the ability to build relationships across departments and manage conflict constructively.
- Experience sourcing, managing, and negotiating with external partners, including janitorial, snacks, property management, and other workplace vendors.
- Strong knowledge of Google Workspace, including Gmail, Calendar, Docs, Sheets, and Slides.
- Experience using ticketing software such as Jira, Freshservice, or ServiceNow.
- Ability to navigate ambiguity and shifting priorities in a fast-paced environment.
- Workplace or facilities experience in a startup environment is a plus.
- Strong planning, organization, prioritization, execution, and attention to detail.
- Passion for creating a positive, engaging, and welcoming office culture, with a proactive and people-first mindset.
