Executive Assistant – Strategic Sourcing & Procurement (SS&P) Northeast Asia


Location: Linkou, Taiwan

Sector: Strategic Sourcing & Procurement (SS&P)

Travel: 5 – 10% (primarily between Linkou and Tainan)


Introduction to the Job

As a Executive Assistant, you will act as a trusted partner and ambassador for SS&P Northeast Asia (Taiwan, Korea and Japan), providing proactive, well-organized, and high-quality support to senior leaders, including the Head of Strategic Sourcing & Procurement Northeast Asia. You will help ensure smooth execution of business, operational, and people priorities. Beyond traditional administrative responsibilities, this role is positioned as a high-impact strategic support role that enables leadership effectiveness and drives cross-regional, cross-sector, and cross-department coordination. You will serve as a central coordination hub connecting teams across Asia with global stakeholders in the Netherlands.

Role & Responsibilities

Executive & Operational Support

  • Manage complex priorities, calendars, and logistics across regions and time zones

  • Prepare meeting agendas, materials, minutes, and follow-up actions

  • Track and drive action items to closure


Stakeholder & Communication Management

  • Act as a professional first point of contact for internal and external stakeholders

  • Facilitate cross-functional coordination across regional and global teams

  • Draft clear communications, reports, presentations, and leadership updates


Team, Event & Travel Coordination

  • Organize and coordinate workshops, staff meetings, operational reviews, and offsites

  • Support leadership and employee onboarding, engagement, and team activities

  • Coordinate supplier visits and Suppliers’ Day events

  • Manage travel arrangements for senior leaders and visitors


Business Support & Reporting

  • Prepare business reports, presentations, dashboards, and leadership materials

  • Support planning, operational excellence, and continuous improvement initiatives

Education

  • Bachelor’s degree (MBA or Supply Chain major is a plus)


Experience

  • 5 – 10 years of relevant work experience

  • Experience in multinational environments preferred

  • Experience supporting senior executives preferred


Skills & Competencies

  • Excellent communication skills, with the ability to engage stakeholders at all levels, including executives and external suppliers

  • Excellent spoken and written English and Mandarin; TOEIC score above 900 preferred

  • Proficiency in Microsoft 365 and digital collaboration tools, including PowerPoint, Excel, and Teams

  • Strong team player with leadership potential; humble, hungry, and smart

  • Proactive, energetic, and self-starting, with a can-do attitude and strong drive for success

  • Structured and organized, with the ability to simplify complex topics effectively

  • Able to work independently, identify and solve problems in a timely manner, and escalate when necessary
