About the Role
As an Executive Assistant at Hermeus, you will manage the wide range of time demands for a small group of senior executives. You’ll be empowered to own the executive’s calendar and help them more effectively manage when, where, and how they execute their duties. Your impact on the business is massive as you collaborate closely with senior leaders and cross-functional teams to deliver the world’s fastest airplane.
Responsibilities
Executive Support: Manage daily calendars for ~2-3 senior executives.
Calendar Management: Respond to internal and external meeting requests.
Travel & Itineraries: Arrange travel, accommodations, itineraries, and all correspondence related to arrangements as needed.
Guest Relations: Act as point of contact for external guests, ensuring a hospitable experience.
Meeting Coordination: Plan and host external meetings, partnering with event organizers and internal stakeholders.
Process Improvement: Establish the standard for all future EA hires at Hermeus. This includes collaboratively building out new processes and standards.
Team Synergy: Work cross-functionally with other administrative and operations team members to ensure seamless office communication.
Flexible Travel: Must be willing to travel to LA, ATL, or DC as needed, and comfortable working across different environments or schedules.
Requirements:
Experience: A minimum of 4+ years administrative experience supporting senior-level executives in a fast-paced environment.
Communication: Excellent written, verbal, and interpersonal communication skills. Approachable style and ability to effectively and professionally interface with high-level executives, clients, employees, and business associates both internal and external.
Organizational Skills: Strong organizational and time management skills. Proven experience in multi-tasking and collaborating with multiple people and priorities, while delivering high-quality results and follow-through.
Onsite Presence: Must be able to work onsite in LA a minimum of two days per week as needed by leadership to support a growing organization.
Company Alignment: Demonstrates curiosity and a desire to understand company goals
Adaptability: Ability to pivot quickly as new context emerges while collaborating effectively within a dynamic team environment
Discretion: Proven ability to handle confidential and sensitive information in a professional manner.
Detail-Oriented: Excellent attention to detail and accuracy.
Technical Skills: Strong Microsoft Office Suite skills and proficiency in scheduling meetings in multiple time zones.
Logistics: Experience planning and booking international travel, and handling executive monthly expense reports.

Experience working with CRM systems, Slack, Confluence, Ramp
Experience working in a tech start-up
Experience supporting teams in a highly collaborative environment.
Experience coordinating executive-level meetings requiring security clearance.
Experience supporting engineering/product teams.
