Who We Need
As a Recruiting Coordinator on the Talent team, you’ll own the operational engine behind Rillet’s hiring. You’ll keep interviews moving, candidates informed, and the systems behind our recruiting process running smoothly.
We hire across every function at a fast pace, so this role is for someone who enjoys creating order in a high-ambiguity environment. Priorities will shift, calendars will change, and not every process will come with a playbook. You’ll use good judgment, stay calm under pressure, and figure out how to keep things moving.
You’ll also play a big role in the candidate experience. We want every candidate to feel like someone is paying attention, communicating clearly, and making the process easy to navigate.
We're looking for teammates within commutable distance of our NYC office (or willing to relocate). Team members work in-office Tuesdays and Thursdays, plus one additional flexible day. This role requires three days per week in office.
What You’ll Do
Own end-to-end interview scheduling across functions, time zones, and complex interview loops, including reschedules, last-minute changes, and high-priority candidates
Own the candidate experience from scheduling through final decision, making sure communication is timely, thoughtful, and nothing falls through the cracks
Keep our recruiting systems accurate and reliable, including ATS data, pipelines, interview materials, candidate communications, and offer logistics
Partner closely with recruiters and hiring managers to anticipate bottlenecks, solve problems quickly, and keep hiring processes moving
Improve how we operate as we scale by spotting recurring issues, building better workflows, and creating structure where it doesn’t yet exist
Who We’re Looking For
1–3 years of recruiting coordination or similar high-volume operations experience, ideally in a fast-moving startup or scaling company
Highly organized, responsive, and detail-oriented, with the ability to manage a lot of moving pieces without losing track of what matters
High ownership and strong judgment. You’re comfortable making decisions, solving problems, and moving things forward without waiting for perfect direction
Comfortable working in a modern ATS and interested in building efficient, reliable recruiting operations. Experience with Ashby is a strong plus
A warm, clear communicator who builds trust with candidates, recruiters, hiring managers, and executives
Adaptable, proactive, and calm under pressure, especially when priorities change or something unexpected comes up
