About the Role
Flow is seeking a Regional Facilities Manager to oversee building operations, maintenance performance, and critical systems across a portfolio of multifamily communities.
This role serves as the operational leader for facilities teams within an assigned region, partnering closely with General Managers, Assistant General Managers, and onsite maintenance teams to ensure our communities operate safely, efficiently, and to Flow standards.
The ideal candidate combines strong technical expertise with leadership experience across multiple properties. They are equally comfortable walking a mechanical room, reviewing a maintenance budget, analyzing operational metrics, and mentoring onsite teams.
Responsibilities
Regional Operations
Provide technical and operational support to facilities teams across multiple communities
Ensure consistent execution of preventative maintenance programs, work orders, unit turns, and repair and maintenance activities
Conduct regular property visits, inspections, and operational audits to verify compliance with company standards
Identify operational inefficiencies and implement process improvements that enhance service delivery and resident experience
Support General Managers and onsite leadership teams with facilities-related challenges and escalations
Facilities & Building Systems
Monitor the performance, maintenance, and uptime of critical building systems including HVAC, electrical, plumbing, elevators, generators, access control, and fire & life safety systems
Lead troubleshooting efforts and support remediation of major maintenance-related issues
Ensure preventative maintenance schedules are executed and documented properly
Assist with planning and execution of deferred maintenance projects and system upgrades
Identify life safety, employee safety, and physical hazards and develop corrective action plans
Vendor & Contract Management
Manage relationships with service providers and contractors across the portfolio
Review vendor performance, scope of work, and contract compliance
Participate in bid processes and vendor selection efforts
Conduct regular business reviews with key service partners to ensure quality, responsiveness, and value
Recommend opportunities for contract optimization and cost savings
Financial Performance
Support annual budgeting, forecasting, and capital planning efforts
Monitor maintenance expenses, turnover costs, and service contract expenditures
Identify opportunities to improve operational efficiency while maintaining service standards
Assist with evaluating repair-versus-replace decisions and long-term asset planning
Compliance & Safety
Ensure properties operate in accordance with all federal, state, and local regulations
Maintain compliance with OSHA, EPA, NFPA, and applicable building and life safety codes
Support safety training initiatives and reinforce company safety standards
Ensure all required inspections, testing, certifications, and documentation are completed on schedule
Team Leadership
Coach, develop, and support onsite facilities teams and maintenance leaders
Participate in recruiting, interviewing, onboarding, and training of facilities personnel
Assist with performance management and succession planning efforts
Promote a culture of accountability, ownership, and continuous improvement
Reporting & Performance Metrics
Monitor and evaluate key operational metrics including preventative maintenance completion, work order completion times, unit turn performance, resident service feedback, compliance inspections, budget performance and, critical systems uptime
Provide regular reporting and recommendations to leadership teams
Ideal Background
5+ years of facilities, engineering, or maintenance leadership experience within multifamily, hospitality, commercial real estate, or a related industry
Experience overseeing operations across multiple properties or locations
Strong knowledge of HVAC, electrical, plumbing, mechanical systems, elevators, and fire & life safety systems
Working knowledge of OSHA regulations, EPA requirements, and NFPA codes
Experience managing third-party vendors and service contracts
Strong financial acumen with experience managing budgets and maintenance expenditures
Experience using Yardi or similar property management platforms
Excellent communication, leadership, and organizational skills
Ability to travel regularly throughout the assigned portfolio
