PMO Manager II
This position is hybrid model in our São Bernardo do Campo unit.
Position Summary
Reporting directly to the Head of PMO, the mission is to coordinate and lead medium-sized programs and projects of medium to high complexity, and may execute contracts of lesser complexity, in a clear and objective manner, seeking to ensure that the products/services are delivered in accordance with the requirements of the Client and the Company, aligned with the expected cost, schedule, and performance expected by the Company, taking into account the satisfaction of both internal and external clients, until the conclusion of the contract and the activities related to its formal completion.
Within the scope of a medium complexity project (at least a category A1 project) that impacts the performance of the area/entity of the country, with controlled technical constraints, the Project Manager II leads and coordinates dedicated internal teams (responsible for sub-assemblies, work packages managers, etc.) and external teams (client, suppliers, subcontractors, partners), also involving various teams such as commercial, finance, among others. He/she orchestrates activities (including those related to risks and opportunities) to ensure project completion in technical, industrial, and financial aspects, ensuring customer satisfaction.
He/she performs this role from project initiation to closure, in terms of organization, planning, resource allocation, budgeting, etc.
He/she ensures compliance with the provisions of the Code of Ethics and the Code of Conduct within the scope of the above-assigned missions.
Note: Position considered Article 62 (trust position).
Key Areas of Responsibility
- Delivery of new revenue via acting as custodian of the technical sales lifecycle on the sales team including: responses to Requests for Proposals/ Requests for Information, discovery, solution design, communication of Thales product positioning, derivation of success criteria, POV management and delivery of product demonstrations address unique customer pain points.
- Represent the company before Clients and partner companies in the project;
- Manage customer relationships (information, supply, contract amendments, complaints, etc.), ensuring that all contractual requirements are being met in order to ensure Customer satisfaction;
- Ensure that Thales’ management system, Chorus, which encompasses best practices, instructions, and activities described in process 5.2 PRJ - Manage Project, is implemented during project execution;
- Evaluate the main aspects of the project, determining the key objectives to be achieved, organizing project planning (schedule, dashboard, forecast, etc.), and presenting them during the project Launch Review, Project Reviews, etc. (ref. process 5.2 PRJ - Manage Project);
- Manage cross-functional projects by identifying critical points, risks, strategy, and prioritizing team efforts as needed;
- Organize the project team and resources, identifying the necessary knowledge and skills;
- Work collaboratively with functional management to determine budgetary requirements and resource needs for the projects;
- Execute project deliverables;
- Promote periodic project follow-up/monitoring meetings, with the participation of representatives from the company’s operational areas (Core Team);
- Influence the work of team members and act as the facilitator responsible for the group's progress (project/program team);
- Identify during project execution possible deviations that may affect delivery schedule, costs, scope increases or decreases, technical deviations (analyzed together with Engineering), for which appropriate corrective measures should be taken by the involved areas under the coordination of the Project Manager;
- Responsible for complex and practical, objective decision-making;
- Define problems/needs and solutions to problems with substantial impact. Responsible for problem resolution;
- Effectively resolve project conflicts by negotiating with stakeholders to reach a mutually agreed resolution;
- Communicate scope change requests, issues, and meeting minutes to those involved in the project;
- Manage and monitor project progress against the project plan, financial reporting, etc.;
- Prepare project management documentation, including status reporting, keeping these organized in the project folder;
- Establish and maintain relationships with project members, stakeholders, and other members who directly affect the projects under their coordination;
- Collaborate with project team members to identify risks and execute mitigation activities;
- Escalate risks when necessary, by reporting to immediate manager and company management;
- Proactively seek external information to work around situations that represent obstacles to project progress;
- Collaborate with project team members to identify improvement opportunities within the project;
- Responsible for controlling and approving hours logged in their projects by team members;
- Ensure monitoring, analysis, and management of risks/opportunities as well as cost, revenue, and margin of the projects under their coordination, including updating dashboards and the on-time delivery (OTD) indicator for project events under their responsibility;
- Participate in and present the status of projects under their coordination in meetings related to project management activities within the company, such as PMO Review, Project Review, among different entities (Joint Project Reviews), Closure Review;
- Record lessons learned at each project during project execution phase and ensure their registration in the appropriate tool for dissemination among different areas of the company;
- Be available for occasional travel, depending on the project’s needs, for work meetings at client and/or supplier offices and/or field activity monitoring;
- Participate in organizational initiatives related to Project Management, share experience and knowledge aiming at improving the organization and competitiveness with a focus on continuous improvement;
- Follow company guidelines, including, but not limited to, certifications, Environmental Policy, ISO 14000, among other applicable standards;
- Identifying new business opportunities within the scope of the program and informing the company's Commercial Department;
- Providing feedback from project employees to their functional managers;
- Perform other related tasks as directed by the immediate superior.
Minimum Qualifications
- University degree, preferably in Engineering, Business or other related courses
- English
- Proficiency in Microsoft Office package;
- Knowledge of project management methodology and its tools;
- Knowledge of planning tools: MS Project or others (Primavera).
- Ability to communicate in Spanish;
- Professional Certification in Project Management (PMP by PMI) and/or IPMA Certification (International Project Management Association) Level B.
