The Enterprise Effects Division (EED) drives integration of Aerospace’s strategic capabilities across the national space enterprise. The division leverages a broad array of engineering disciplines against a dynamic portfolio of programs, customers, and national challenges. EED spans the capability lifecycle from concept and architecture design to performance assessment to application of space and space-enabled capabilities.
We are seeking a driven and confident Senior-level Administrative Partner to work directly with the General Manager. In this pivotal role, you will be a key contributor to the division's leadership team, offering strategic and forward-thinking insights to drive team and organizational success. You will be responsible for anticipating needs, making informed recommendations, and actively participating in planning and decision-making processes. Your duties will include streamlining workflows, ensuring alignment with organizational goals, and providing collaborative administrative leadership to enhance overall operations. Strong problem-solving skills, process ownership, and effective communication with leaders, colleagues, and customers across the organization are essential to ensure smooth operations and the timely achievement of internal and external deadlines.
The selected candidate will be required to work full-time, on-site at our corporate facilities in Chantilly, VA, Colorado Springs, CO or El Segundo, CA.
What You’ll Be Doing
Act as a partner, representative, and point of contact for GM by working closely with and fostering connections with internal management, government customers, contractors, and external senior leaders
Organize and prioritize critical issues and information for the leader(s) to facilitate efficient decision making
Oversee coordination of employee admin support for the division (e.g., office space, on-boarding, timesheet administration/auditing, training requirements, supply/equipment orders)
Coordinate and facilitate special projects for the division including tracking actions items and deliverables
Coordinate division, corporate, and customer reports/deliverables/org charts (compile/edit/publish)
Provide input and feedback on GM/Division-level activities and decisions, with follow-up communications and coordination
Execute strategic, proactive, and complex calendar/meeting/event planning management and schedule resolution across multiple time zones and departments, and organizational levels
Arrange travel coordination, logistics, and expense reporting for senior leadership
Improve and ensure effective processes/systems within the division that provide superior organization, efficiency and industry-lead technical best practices
Coordinate timely support across multiple US geographic locations (such as El Segundo, Chantilly, Colorado Springs, Albuquerque)
Collaborate with admins across the corporation to achieve coverage and increase efficiency and consistency
Lead by training and mentoring admins and serve as a role model by demonstrating professionalism, team collaboration, technical expertise, and leadership behavior that is consistent with the company's values
What You Need to be Successful
Minimum Requirements:
High School Diploma, GED or equivalent is required
Advanced administrative skills: project coordination, strategic execution of tasks, organization, detail-oriented, writing, and proofreading
Advanced technological fluency across a wide range of tools and platforms such as Microsoft Office applications including Outlook, Word, PowerPoint, Teams, SharePoint and Excel
Advanced communication & interpersonal skills: leadership, collaboration, strategic thinking, problem-solving, emotional intelligence, diplomatic, judgment, business acumen, and decision making, across all levels of the organization
Ability to rapidly adapt to changing environments and anticipate needs of the organization
Ability to handle sensitive and personnel-related information appropriately and support sensitive management functions
Ability to work independently and/or cooperatively with a team to proactively deliver innovative solutions and resolve issues with minimal direction
This position requires the ability to obtain and maintain a TS/SSBI/SCI security clearance, which is issued by the U.S. government. U.S. citizenship is required to obtain a security clearance.
How You Can Stand Out
It would be impressive if you have one or more of these:
Prior experience as a senior admin or similar role
Familiarity with enterprise software packages such as Teams, Concur, Workday, JIRA, Confluence
Familiarity with Aerospace corporate organizational structures, policies, processes, and practices
Experience with classified procedures, processes, and data handling
A current and active TS/SSBI/SCI security clearance, which is issued by the U.S. government is highly preferred. U.S. citizenship is required to obtain a security clearance.
