The Administrative Operations organization plays a critical role in enabling Aerospace’s mission and business by delivering exceptional administrative services, driving operational efficiency, and fostering a culture of collaboration and continuous improvement. Our Centralized Admin Teams are composed of highly skilled administrative professionals who serve as tactical subject matter experts, executing administrative and operational tasks with precision while supporting enterprise priorities.


We are seeking a confident and adaptable Site Administrative Assistant, as a member of a Centralized Admin Team, to help ensure seamless daily onsite operations. This role serves as the primary administrative resource for site support activities and is responsible for coordinating site-specific operational needs, workplace services, and enterprise support functions. The Site Administrative Assistant partners with Enterprise Services organizations, site leadership, employees, vendors, and external stakeholders to help maintain a safe, efficient, and productive work environment.


Site support and operational coordination are the primary focus and highest priority of this position. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment, demonstrates strong communication skills, and excels at coordinating multiple site-related priorities. You will proactively address onsite needs, coordinate resources, support continuous improvement efforts, and contribute to tactical problem-solving as part of a collaborative team.


This is a full-time onsite position requiring regular work at both our Greenbelt, Maryland and Crystal City, Virginia facilities. The selected candidate will be expected to split their time evenly between the two locations.


What You’ll Be Doing 

Site Support

  • Site Support & Coordination: Serve as the primary onsite administrative resource responsible for supporting daily site operations and coordinating site-specific services, resources, and workplace requirements to ensure operational needs are fulfilled.
  • Site Operations: Coordinate site-related activities including maintenance requests, janitorial services, vendor interactions, property management support, workplace readiness, and incoming and outgoing deliveries.
  • Enterprise Services Partnership: Partner with Facilities, Security & Safety, Enterprise Information Services (EIS), Corporate Communications, People Operations, and other enterprise service organizations to facilitate service requests, resolve operational issues, and support site needs.
  • Site Communications: Partner with leadership and administrative teams to coordinate and distribute site communications, updates, announcements, and operational information.
  • Cross-Organizational Support: Support cross-organizational teams, committees, employee groups, leadership teams, external customers, and site visitors requiring coordination, logistics, and onsite support.

Administrative Support

  • Administrative Support: Provide collaborative administrative support to ensure smooth operations
  • Task Execution: Execute in-person and system-submitted requests, processes, and procedures with accuracy and efficiency
  • Technology Proficiency: Utilize essential tools and technology to complete work effectively
  • Project Coordination: Support small to medium projects by executing tasks and timelines
  • Problem Solving: Address minor operational issues, identify solutions, and coordinate follow-through
  • Process Improvement: Participate in initiatives to enhance efficiency and workflow
  • Internal Client Focus: Deliver responsive support by engaging with stakeholders, addressing in-person requests, supporting onsite needs, and coordinating solutions across various locations.
  • Communication & Collaboration: Maintain clear, professional communication and contribute to team efforts
  • Adaptability: Adjust to changing priorities and varying requests
  • Leadership & Initiative: Support new initiatives by executing tasks and driving results.
  • Automation & Optimization: Apply automation for designated tasks
  • Decision-Making: Make practical, tactical decisions to support business operations

What You Need to be Successful 

Minimum Requirements:   

  • Education: High School Diploma or equivalent
  • Experience: 2 or more years of experience as an administrative professional or similar role 
  • Fundamental administrative skills: strategic execution of tasks, organization, detail-oriented, writing, and proofreading  
  • Technological fluency across a wide range of tools and platforms​ such as Microsoft Office applications including Outlook, Word, PowerPoint, SharePoint and Excel, and meeting tools such as Teams  
  • Fundamental communication & interpersonal skills: collaboration, problem-solving, emotional intelligence, diplomatic, judgment, and decision-making, across all levels of the organization  
  • Ability to rapidly adapt to changing environments and priorities  
  • Ability to handle sensitive information appropriately  
  • Ability to work independently and/or cooperatively with a team to contribute innovative solutions and resolve issues  
  • Ability to maintain regular onsite attendance to foster strong, in-person relationships with stakeholders and team members

How You Can Stand Out 

It would be impressive if you have one or more of these:  

  • Experience supporting site operations, workplace services, facilities coordination, office management, and employee-facing operational support functions.
  • Proven ability to develop partnerships across organizations and serve as a trusted onsite resource while coordinating enterprise services, vendors, workplace resources, site events, and operational activities.
  • Familiarity with enterprise software packages such as Concur, Workday, JIRA, Confluence 
  • Familiarity with Aerospace corporate organizational structures, policies, processes, and practices
