Job Summary
Enterprise Information Services (EIS) and Facilities are two Divisions within the Office of the Chief Operating Officer (COO). The EIS Division is responsible for Aerospace’s classified and unclassified enterprise IT environments and supports a wide range of components, including equipment, collaboration tools, communication systems, security measures, and business, technical, and scientific tools. The Facilities Division maintains infrastructure and corporate campuses, plans upgrades, and invests in developing future properties to include providing space occupancy planning, design and engineering services; construction management; building and ground maintenance for all corporate owned and leased facilities, and equipment.
We are seeking a driven and confident senior-level Administrative Partner to work directly with the General Managers of EIS and Facilities, operating as a true partner to help drive the success of the team and organization. As an integral member of each of their management teams and focal point for both divisions, the ideal candidate will be strategic and forward-thinking, capable of anticipating needs, making informed recommendations, and actively contributing to planning and decision-making processes. This individual will streamline workflows, ensure alignment with organizational goals, and provide collaborative administrative leadership to enhance operations. Proactive and independent problem-solving, ownership of processes, and effective communication with leaders, colleagues, and customers across the enterprise are essential to ensure smooth operations and timely achievement of internal and external deadlines.
The selected candidate will be required to work full time on-site at our facility in El Segundo, CA.
What You’ll Be Doing
Act as a partner, representative, and point of contact for GM by working closely with and fostering connections with internal management, government customers, contractors, and external senior leaders
Oversees coordination of employee support for the group/division/sub-division (office space, on-boarding, timesheet administration/auditing, training requirements, supply/equipment orders)
Organizes and prioritizes critical issues and information for the leader(s) to facilitate efficient decision making
Manages special projects from initiation through completion, tracking action items and deliverables to ensure accountability
Coordinates division, corporate, and customer reports/deliverables/org charts (compile/edit/publish)
Provides input and feedback on GM/Division-level activities and decisions, with follow-up communications and coordination
Executes strategic, proactive, and complex calendar/meeting/event planning management and conflict resolution
Arranges travel coordination, logistics, and expense reporting for senior leadership
Improves and ensures effective processes/systems within the division that provide superior organization, efficiency and industry-lead technical best practices
Collaborates with admins across the corporation to achieve coverage and increase efficiency and consistency
Leads by training and mentoring admins and is a role model by demonstrating professionalism, team collaboration, technical expertise, and leadership behavior that is consistent with the company's values
What You Need to be Successful
Minimum Requirements for the General Manager Administrative Partner (EIS and Facilities) include:
High School Diploma, GED or equivalent is required
A minimum of (3) years of professional administrative experience is required
Advanced administrative skills: project coordination, strategic execution of tasks, organization, detail-oriented, writing, and proofreading
Advanced technological fluency across a wide range of tools and platforms such as Microsoft Office 365 applications including Outlook, Word, PowerPoint, Teams, SharePoint and Excel
Advanced communication & interpersonal skills: leadership, collaboration, strategic thinking, problem-solving, emotional intelligence, diplomatic, judgment, business acumen, and decision making, across all levels of the organization
Agility to adapt quickly to evolving priorities and proactively anticipate organizational needs
Discretion in handling confidential and personnel-sensitive information while supporting critical management functions
Self-motivated team player who delivers innovative solutions and resolves complex issues with minimal supervision
How You Can Stand Out
It would be impressive if you have one or more of these:
Previous senior administrative or equivalent experience preferred
Proficiency with enterprise platforms such as Concur, Workday, JIRA, and Confluence
Knowledge of aerospace industry organizational structures, corporate policies, and operational practices
Understanding of classified information protocols, security procedures, and data handling requirement
