Job Summary
The Property and Fleet Management team is part of a nationwide Facilities organization which contributes vital skills and expertise to support our technical programs and is responsible for the management and oversight of accountable property. The Fleet Vehicle Specialist II/III is a part of the existing team of experienced personnel focused on executing critical fleet vehicle management actions, supporting the department’s administrative projects, and contributing to ensuring compliance with all regulatory requirements.
This role is responsible for executing Corporate vehicle actions. It collaborate with Fleet/Property team and management to ensure that Corporate vehicles are maintained in safe, readily available conditions for drivers and custodial organizations. This position maintains fleet service records, safety documents, and other applicable documentation as requested. This position communicates and explains to employees’ information related to Corporate Fleet requirements.
The selected candidate will be required to work full-time on-site at our facility in El Segundo, CA.
What You’ll be Doing
- Acts as primary contact for operating and maintaining Property and Fleet department vehicles, and loan/pool vehicles, including ensuring vehicles are fueled, washed, and maintained/repaired in accordance with Corporate Policy and industry standards for safe, reliable vehicle operation
- Assists with Corporate vehicle inspection and utilization program, including performing as needed and random physical vehicle inspections and verifications of data on-site, including at vehicle acquisition, reassignment, disposal, and as requested
- Coordinates vehicle on-site fuel program (for both gasoline and electric vehicles); ensures fuel keys/cards are assigned and maintained in the database and kept in working order
- Assists with overall nationwide fleet vehicle management program, including delivering registration decals/cards, Commercial Motor Vehicle (CMV) compliance documents, ensuring custodial binders are inspected and kept updated, and coordinating vehicle inspections, washes, and service/repair actions with custodians and vendors as requested
- Assists with vehicle utilization program, including coordinating with Fleet staff, vehicle custodians/drivers and requestors to arrange fleet vehicle loans across organizations
- Collaborates with vehicle custodians, Fleet Staff/Management and vendors to assist with vehicle disposal actions, including vehicle inspections, condition assessments, and removal of associated property and vehicle markings
- Reviews vehicle service vendor performance for adherence to specifications. May audit service invoices and repair orders to identify any service, rate or billing discrepancies
- May utilize applicable databases and software tools to review and process expenditures for corporate owned and leased fleet vehicles nationwide, including repair/maintenance documents and registrations, and process payment/check requests
- Obtains a Corporate Purchasing Card (P-Card) and manages/reconciles charges in accordance with Corporate and department policy
- Assists with Corporate Property Management functions as requested
What You Need to be Successful:
Minimum Requirements for the Fleet Vehicle Specialist II include:
- High School Diploma or equivalent
- Valid standard-vehicle (non-CMV) driver's license in the U.S. state of assigned work location
- Minimum (3) years of driving experience with a clean Motor Vehicle Record (MVR) as defined by corporate policy
- Candidates must be 21 years of age or older
- Demonstrated ability to operate vehicles up to 26,000 lbs. Gross Vehicle Weight Rating (GVWR)
- Ability to obtain CMV (non-CDL) certification for vehicles up to 26,000 lbs. GVWR
- Ability to conduct vehicle physical inspections and perform minor repairs using appropriate tools and equipment
- Proficiency with Microsoft Office Suite (Word, Excel)
- Basic familiarity with Sunflower or similar database systems
- General understanding of vehicle and driver data management and recordkeeping practices
- Ability to sit or stand for extended periods of time
- Ability to safely lift up to 25 pounds
- Willingness to travel intermittently to various work sites and national locations, (as needed)
In addition to the above, the minimum requirements for the Fleet Vehicle Specialist III include:
- A minimum of (6) or more years of relevant experience is required
- Proficient computer skills including Microsoft Office Suite (Word, Excel, Power Point)
- Hands-on experience with Sunflower and comparable database solutions
- Demonstrated understanding of the nature of vehicle and driver data management and recordkeeping practices
