Position Summary
The Engineering Change Project Coordinator (ECPC) specializes in managing and coordinating activities related to engineering change scope within engineering projects. The ECPC acts as a key liaison between engineering, PMO, finance, quality, and other cross functional teams to ensure the accurate implementation, communication, and documentation of engineering changes. This role is responsible for overseeing the lifecycle of engineering change requests (ECRs), ensuring that modifications align with project timelines, budget, and overall program goals.
Regulatory Compliance Requirement
This position requires direct or indirect access to hardware, software or technical information controlled under the Canadian Export Control List and/or the US the Export Administration Regulations (EAR). All applicants must be eligible or able to obtain authorization for such access.
Key Areas of Responsibility
Under the direction and support of the Capability Sustainment Project Engineer and/or PMO Manager Lead, the ECPC will be responsible to:
- Works with the Engineering Change Coordinator (technical) to coordinate and monitor the engineering change process from initiation through to approval, implementation, and closure, ensuring the AJISS EC Integrated Master Schedule is up to date and accurate. The ECPC manages the administration of changes, while all technical content remains with engineering.
- Generate formal quotes for Engineering Change Requests (ECRs).
- Provide quick turnaround rough order of magnitude (ROM) pricing for lost or damaged parts.
- Track the status and approvals of all quotes, ROMs, and engineering changes, ensuring timely follow up and clear communication with stakeholders.
- Create templates for Quotes/SOWs and initiate the process for Quotes/SOWs, collecting required data from PMO.
- Coordinate invoice data by correlating information from SAP, Jira Procs, and relevant reports.
- Support project financial tracking for the engineering team, including helping track purchase orders (POs) for on order, spent, and unspent status.
- Support Procurement with purchase order creation requests for quotes and assist with contracting and subcontracting documentation and correspondence.
- Support and facilitate, as required meetings related to engineering changes and project coordination, including preparing necessary documentation and taking, drafting, and submitting meeting minutes.
- Develop and maintain positive relationships with internal and external project stakeholders, including suppliers, subcontractors, and customers.
- Manage movement and control of project documentation (Quotes, SOWs, Drawings, Internal, External, etc.
- Gather, analyze, and report data relevant to project performance measures.
- Work with project management and engineering tools to manage and track activities, workflow issues, reports, and project deliverables.
- Support continuous improvement initiatives and process enhancements related to engineering change management.
- Identify risks and bottlenecks related to engineering changes and propose mitigation strategies.
Minimum Qualifications
Bachelor’s degree or college diploma in Business Administration, Project Management, Engineering, or a related technical field.
- Minimum 5 years demonstrated experience within the last 10 years in a similar role.
- Basic understanding of engineering documentation, drawings, BOM's & SOW's.
- Ability to manage and control project records and documentation.
- Proficiency using MS Word, Excel, Powerpoint and JIRA.
- Familiarity With Enterprise Resource Planning (ERP) tools such as SAP is an asset.
- All applicants must be able to obtain a Canadian NATO Secret clearance and meet the eligibility requirements outlined in the Canadian Controlled Goods Registration Program.
Preferred Qualifications
- Certification in Project Management or similar.
- Detailed knowledge and understanding of the Defence Sector
- Experience supporting procurement processes, contract administration, or invoice management.
Special Position Requirements
Schedule: 40 hours per week / 5 day per week.
Physical Environment: Hybrid role – Onsite and remote working.
Travel: Minimal travel required.

The reference Total Target Compensation(TTC) market range for this position, inclusive of annual base salary and the variable compensation target, is between Total Target Cash 60,000.00 - 80,000 CDN Annual.
