Job Description
Job title: Bid & Project Support Officer
Location: Belfast - hybrid working arrangement – 3 days per week on site (based on full time hours)
Are you highly organised, detail‑focused, and passionate about supporting successful project delivery? We are looking for a Bid & Project Support professional to join our Back Office team in Belfast. In this role, you will provide essential administrative, reporting and coordination support to ensure our bids and projects run efficiently, accurately and in alignment with Thales processes. This position is ideal for someone who thrives in a fast‑paced, matrix‑style environment and enjoys working with multiple stakeholders across the business.

Key responsibilities:
Ensure weekly timesheets are submitted on time and support accurate project labour reporting.
Perform project labour transfers each accounting period to maintain correct financial reporting.
Organise and coordinate project‑related meetings, including preparing materials, collating inputs, producing presentation packs and managing agendas, minutes and action logs.
Produce dashboards, KPI reports and data summaries in support of reviews and governance meetings.
Manage and quality‑check project documentation throughout its lifecycle, ensuring compliance with processes.
Support document control activities, tracking configurable items and providing guidance to stakeholders.
Carry out additional ad‑hoc activities as required to meet the needs of the business.
About you:
Essential:
Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Excellent attention to detail with the ability to produce clear, concise reporting.
Ability to manage conflicting priorities and work to tight deadlines.
Awareness of bid and project management phases and lifecycles.
Strong organisational skills and the ability to work effectively in a matrix environment.
Desirable:
Experience providing support within a PMO, bid or project management environment.
Knowledge or experience of Primavera P6.
Security Clearance statement:
Due to the nature of the work that we do at Thales, many of our roles are subject to security restrictions. This role requires Security Clearance (SC). It would be advantageous if currently held, however, if not currently held, it is a requirement that the successful applicant undergo, achieve, and maintain SC Clearance prior to commencing employment. To be eligible for full SC, you generally need to have resided in the UK for the last 5 years. In some circumstances, a minimum of 3 years’ residence in the UK over the last 5 years may be accepted, with additional overseas checks.
