Key Responsibilities
- Coordinate and arrange meetings with internal and external stakeholders
- Assist in scheduling and coordinating team events and activities
- Handle travel arrangements
- Maintain an organised electronic document filing system to ensure ease of access
- Support and facilitate all communication within the team regarding administrative and operational matters.
- Provide administrative and logistics support to the team
- Manage office supplies and inventory
- Manage procurement requests, coordinate with suppliers and stakeholders on delivery matters
- Manage expense records and claims
- Process incoming purchase orders, track customer delivery milestones and handle invoicing matters
- Coordinate security clearance for guests
- Coordinate Customer/internal events , including if applicable accommodation, catering, venue and equipment arrangements
- Support on and off boarding of new team members
- Perform ad hoc duties assigned by the management
Qualifications and skills
- Bachelor’s degree or equivalent.
- 5+ years of experience supporting high-level executives.
- Service-oriented team player with exceptional interpersonal skills and ability to build and foster relationships
- Strong organising skills with ability to work within constrains and simplify tasks
- Independent, self-motivator, and adaptable
- Detail oriented and problem solver
