Responsibilities:
JPL’s Quality Assurance Office is seeking an experienced and motivated part-time Business Administrator I to support the NASA/JPL Western Region Manufacturing Technology Transfer Center (MTTC).
The selected candidate will report to the Quality Assurance Business Manager. This position is well suited for an individual who thrives balancing multiple priorities, excels in a fast-paced environment, has excellent teaming and communication skills, professionalism, strong work ethic, and enjoys working in a customer service environment.
Tasks Include but not limited to:
- Providing office support to the lead MTTC Business Administrator and the Technical Learning & Development Instructors.
- Supporting tasks within the Learning Management System (LMS) including student enrollment, generating, and managing training rosters, applying credit, and assigning training.
- Managing class enrollments, reviewing training records for compliance (qualification and recertifications), acquiring valid project/task numbers from customers for class cost, scheduling classes, coordinating with flight projects for special/critical training requirements, updating training calendars, adding, and maintaining classes, manage waitlist in the QA Database and LMS.
- Providing timely correspondence to all customers/students. Excellent customer service, organizational, interpersonal, verbal, and written communication skills needed!
- Maintaining close communication with students, instructors, and management at all times.
- Reviewing Risk Assessments and generating NASA/JPL Workmanship Extensions for Certification Training.
- Review and maintenance of Pending Approval list in LMS.
- Includes reaching out to internal student for charge codes, managing registrations and cancellations and changes to registrations.
- Process Visitor Requests for external students and escort external students in the morning (7:45am) as needed
- Maintaining medical results in shared drive and adding information in QADB/LMS for tracking.
- Reconciling invoices for payment
- Assist in budget planning, reporting and revenue and expenditure forecasting
- Sending certificates to externals post class
- Process procurement requests via P-card, iProcurement, and requisition orders, including the procurement of office supplies.
- Documentation & File Management: Assisting with preparation of presentations reports, and website/Wiki pages, including proofreading and editing.
- Organizing and maintaining the MTTC electronic file repository utilizing Alfresco as appropriate.
Qualifications:
- Typically requires a Bachelor’s degree in Business Administration or related business field with a minimum of 1 years of related experience; or Master’s degree in similar field with 0 year of related experience; related required training.
- Self-starter who can consistently and effectively work in a team and independently
- Demonstrated ability to work well on multiple tasks while meeting commitments with high quality results and output
- Strong professional characteristics: transparent, responsible, hardworking, intellectually curious individual who takes initiative and ownership of work
- Excellent customer service, organizational, interpersonal, verbal and written communications skills
- Excellent digital literacy and solid understanding of Excel, Word, PowerPoint, Outlook
- Must have excellent written and oral communication skills
- Ability to identify, learn, and apply new processes to improve business operations
Preferred Skills
- Understanding of JPL’s Learning Management System (LMS) or similar system
- Administrative and Customer Service experience in the field of Learning & Development
As a temporary position, this assignment may last up to 36 months in duration with approvals based on 12-month assignments. However, please note that you are not under any employment contract and your temporary employment status can be terminated at any time, with or without notice.

The hiring range displayed below is specifically for those who will work in or reside in the location listed. In extending an offer, Jet Propulsion Laboratory considers factors including, but not limited to, the candidate’s job related skills, experience, knowledge, and relevant education/training.
