Senior HR Operations Specialist

Position: Full-time (37.5 hours / week)
Why this role matters:
As a Senior HR Operations Specialist, you are a key member of our globally distributed HR team, responsible for ensuring a seamless and positive employee experience across the entire employee lifecycle - specially as ICEYE continues to grow and expand globally (we are set to onboard 500 ICEYERs solely this year!) and are in the midst of opening new entities worldwide. Your work extends to all employees globally, regardless of their or your location, driving operational excellence and employee satisfaction. In short, your mission is to ensure that ICEYErs worldwide are happy and engaged so that they can deliver better business results!
HR Operations: The HR Operations team at ICEYE is a strategic function, shaping the future of work at ICEYE. We drive operational excellence and focus on delivering a great employee experience throughout the entire lifecycle globally. Operating with agility and a user-centric approach, we continuously iterate and refine our processes. By thoughtfully integrating AI, automation, and data, we craft personalized experiences that meet diverse needs, ensure robust compliance, and enable ICEYE to grow and scale effectively while maintaining our people-centric culture globally. We provide core operational services for both the HR team and the entire organization.

Your day-to-day responsibilities:
- Serve as a primary point of contact for employees globally via our ticketing system or other dedicated tools, addressing a wide range of HR inquiries and issues related to benefits, policies, and employee lifecycle events, providing timely and accurate responses.
- Maintain accurate and up-to-date employee records in HRIS and other relevant systems, ensuring data integrity, confidentiality, and compliance with global data privacy regulations.
- Identify opportunities to streamline, improve and automate HR processes, leveraging technology and best practices to enhance efficiency, scalability and employee experience whilst remaining compliant with all relevant employment laws and regulations.
- Create and maintain comprehensive documentation for all HR processes and policies.
- Stay abreast of changing employment laws and regulations in all countries of operation to ensure compliance in all HR activities.
- Collaborate closely with relevant internal and external stakeholders within the wider HR team as well as with payroll, legal, IT and other internal departments to ensure a cohesive and integrated employee experience globally.
- Manage third-party HR providers in various countries to address employee needs.
- Actively participate in and/or lead the development, implementation, and communication of HR projects, policies, procedures, and programs in accordance with agreed team priorities.
Requirements
What we're looking for:
- Strong knowledge of Finnish labor law combined with a proven track record in a multi-country role, managing both local entities and Employer of Record (EOR) set-up.
- A deep desire and experience to build and develop HR processes and policies from scratch; you don’t wait for a manual—you write it.
- The ability to maintain a long-term view while managing day-to-day tasks, identifying "silent killers" of efficiency (e.g., technical debt or fragmented data) before they impact global scaling or team efficiency.
- A proactive, solution-oriented "no-task-too-small" attitude with the grit to independently navigate ambiguity—whether it’s researching foreign labor laws or solving complex permit issues in jurisdictions where no internal documentation exists.
- Experience leveraging AI and HR tech (e.g., HiBob) to transition from reactive support to proactive, automated employee experiences.
- Comfortable acting as the "1st and 2nd Line of Defence" in a hyper-growth environment, with the emotional intelligence to handle sensitive ER cases and the courage to push back on stakeholders.
- High attention to detail preferably with experience implementing robust checks and balances in an HRIS to ensure global data is audit-ready and scalable for the long term.
- Exceptional communication skills in English and Finnish, with the ability to bridge the gap between global standards and local needs, influencing stakeholders across HR, Payroll, Legal, and IT.
