The opportunity :
Stepful is one of the fastest-growing healthcare education platforms in the country, training allied health workers at scale across 12+ certificate programs — CMA, Phlebotomy, PCT, PHT, and more. Our programs run on a tight, high-stakes rhythm: the right instructor, in the right class, at the right time, every single cohort.
We're looking for a Student Success Program Manager to join our operations team in a hybrid role that evolves as you grow with us. You'll start in a coverage capacity while a team member is on a planned leave, owning the instructor-facing logistics that keep our certificate programs running — scheduling, sub coverage, invoice operations, and cohort setup across 90+ instructors. Once that coverage period wraps, you'll transition into a program management role, coordinating and leading a network of coaches and instructors who support post-program career searches for students.
This is a role for someone who thrives in operational complexity, moves quickly through ambiguity, and genuinely cares about the students on the other side of the work.
This full-time, remote role reports to the Manager of Instructional Quality & Operations.
What you’ll do :
Phase 1: Cohort Logistics (first 6–8 weeks)
You'll begin in a coverage capacity while a team member is on a planned leave, owning the instructor-facing logistics that keep our certificate programs running. This is real operational ownership — not a shadow role — and sets you up with deep program context before you transition into the coach-facing work.

Own instructor scheduling across 90+ instructors and active certificate programs, ensuring every cohort has the right instructor at the right time

Coordinate sub coverage when instructors are unavailable, maintaining continuity for students

Handle invoice operations — reviewing, processing, and tracking instructor invoices accurately and on time

Own cohort setup operations, ensuring every program is configured and ready to launch without friction

Serve as the operational point of contact for instructors, fielding questions and resolving scheduling issues as they arise
Phase 2: Student Coach Program Management

Coordinate and support a network of 1099 coaches who provide first-line support to Stepful students

Lead onboarding of new coaches and drive continuous improvement and best practice sharing to ensure communication reflects Stepful's supportive tone

Meet weekly 1:1 with coaches to review student load, provide actionable feedback, and support their development

Assess coach quality and provide constructive guidance on how they can best support students

Track student, cohort, and partner-level outcomes — including retention, graduation, certification, externship placement, and job placement rates

Run weekly or biweekly cohort-specific task force meetings to assess progress and hit success metrics

Proactively maintain data and reports to support the client success team

Communicate with enterprise partners on student progress
What you’ll bring :
-
3+ years in operations, program coordination, or workforce/staffing operations

Experience managing scheduling across a distributed workforce — instructors, contractors, tutors, or shift workers

Strong tool-builder in Google Sheets and/or Airtable. Ability to use Claude CoWork is strongly preferred

Ability to work closely with the hiring manager during a fast-moving leave coverage period, including multiple weekly check-ins and operational planning sessions

Excellent async communicator who can coordinate across multiple teams using Slack

Comfortable operating with SOPs in hand but limited ramp time — this role starts fast

Healthcare or education workforce experience is a plus, not required.

The target base salary range for this opportunity is $63,000 - $74,000 , and is part of a competitive total rewards package including equity and benefits. Individual pay may vary from the target range and is determined by a number of factors including experience, internal pay equity and other relevant business considerations.
Please note we do not have a bonus structure at this time so all cash compensation will come in the form of base salary. The total compensation package will also include our benefits package and an equity (ISOs) package.
