Position Objective

The Client Operations Specialist supports the growth and daily execution of SpotOn Capital by providing operational, administrative, and communication support to the Capital Operations team. This role plays a critical part in keeping merchant relationships moving forward, maintaining accurate data, and ensuring the team runs efficiently. The ideal candidate is detail-oriented, proactive, and comfortable working across multiple systems and time zones in a fast-paced environment.

Responsibilities

  • Support outreach and follow-up communications with merchants, internal stakeholders, and lending partner (Parafin) throughout the application and funding process

  • Coordinate touchpoints including status updates, document requests, and inquiry routing

  • Maintain professional, accurate communication across all audiences in alignment with team standards

Documentation & Data Management

  • Submit, track, and review loan application documentation from prospects and merchants for completeness and accuracy

  • Maintain accurate and up-to-date records across Capital Operations workflows and systems

  • Perform quality checks to ensure data integrity across the application and funding pipeline

Operational Standards

  • Deliver high-quality, accurate work and outcomes by consistently adhering to documented processes, including Standard Operating Procedures (SOPs), Service Level Agreements (SLAs), and checklists.

  • Review and verify outcomes before submission to maintain consistency and high-quality standards.

  • Identify and address process gaps or errors to drive continuous improvement and operational excellence.

Skills & Knowledge

  • Organization: Strong attention to detail with the ability to manage multiple tasks and priorities simultaneously

  • Communication: Clear, professional written and verbal communication skills across internal and external audiences

  • Data accuracy: Comfortable with data entry, recordkeeping, and basic reporting; takes ownership of quality

  • Systems proficiency: Familiarity with CRM tools (Salesforce preferred) and productivity platforms such as Google Workspace or Microsoft Office

  • Collaboration: Works well across teams and time zones; responsive and dependable

  • Adaptability: Comfortable navigating a fast-paced, evolving environment with shifting priorities

Previous Experience

  • 2 –3 years of professional experience in customer success or related roles.

  • Experience in fintech or SaaS environments preferred.

Education / Professional Training

  • A high school diploma or GED is required.

  • Associate degree in Business, Communications, Operations or related fields preferred.

  • An equivalent combination of education and experience may be considered.

Languages & Level of Proficiency

  • Fluent in English and Spanish (written and verbal).

  • Additional languages are preferred but not required.
