Job Overview
As Workplace Operations Manager for Heron Power, you will own the full employee and visitor experience across our three Scotts Valley campuses — from the first impression a customer gets at the front door to the vendor relationships that keep our buildings running, our teams fed, and our spaces ready to work in. This is the connective tissue role that lets everyone else stay focused on building the company.
This role is both operational and relational. On any given day, you might be coordinating a building repair, preparing a conference room for a customer visit, running a new hire through their first day, and reviewing vendor invoices. What ties it together is ownership — you notice what needs to happen, you make it happen, and you build the systems that prevent the same problem from surfacing twice. You will report to [Operations/HR/Executive leadership] and work closely with every team in the building.
How You Will Contribute
Own the day-to-day operations of all three Heron Power campuses — ensuring buildings are clean, functional, stocked, and well-maintained at all times, with a visible presence across sites and a proactive eye for what needs attention before it becomes a problem
Be the face of Heron Power for every person who walks through the door — welcoming visitors, coordinating customer and partner visits end-to-end (conference rooms, catering, logistics, badging), and ensuring every interaction with our space reflects the quality and professionalism of our work
Manage all workplace vendor relationships — janitorial, landscaping, pest control, HVAC, alarm systems, waste, window cleaning, and others — owning contracts, service schedules, performance expectations, and issue resolution so vendors deliver reliably without requiring escalation
Coordinate facilities maintenance and infrastructure work across all three sites — scheduling preventive maintenance for HVAC, plumbing, and building systems; managing reactive issues through to resolution; coordinating with landlords; and serving as the operational point of contact for renovation and build-out projects
Keep teams stocked and running — managing office supplies, pantry and snack restocking, and lunch service coordination across three buildings, with enough system behind it that nothing runs out and no one has to think about it
Own new hire onboarding coordination for workplace — desk setup, badging and access provisioning, supply kits, and building orientation — ensuring every new team member is set up and functional from day one
Manage badging, site access, and visitor credentialing across all campuses — including day-to-day access changes, camera system liaison, and visitor NDA and sign-in workflows for a growing and increasingly visited company
Plan and execute company events, all-hands logistics, and special celebrations — handling venue setup, catering, coordination, and cross-functional support so events run smoothly without burdening the broader team
Track and manage the workplace operations budget — maintaining clear visibility into spend across supplies, food, vendors, maintenance, and events, and identifying optimization opportunities without compromising quality
Own health, safety, and compliance touchpoints — coordinating fire and safety inspections, maintaining first aid and AED supplies, supporting emergency evacuation planning, and ensuring facility permits and filings stay current
What You Will Bring

Must-Have Requirements
4+ years of office management, workplace operations, or multi-site facilities coordination experience, ideally in a company that was growing or operationally complex when you were there
Proven vendor management experience — you have owned service contracts, held vendors accountable to performance standards, and built relationships that produce reliable results without constant follow-up
Exceptional organizational skills and follow-through; you maintain clear systems, keep records others can rely on, and don't let things slip through the cracks
Warm, professional presence with a genuine service orientation — comfortable setting up a flawless customer visit and coordinating a team lunch in the same morning, without either suffering
Strong written and verbal communicator who can manage up, coordinate across teams, and set clear expectations with external vendors
Comfortable owning a wide and varied scope — from ordering snacks to coordinating a building renovation — and bringing the same care and follow-through to both
Proficiency with Microsoft 365 (Outlook, Teams, SharePoint) and comfortable adopting new tools for scheduling, access management, and vendor tracking
Nice-to-Have Qualifications
Experience supporting a manufacturing, engineering, or hardware-driven company, with familiarity with lab or production environment needs (controlled access, equipment coordination, hazmat compliance)
Background in event planning, hospitality, or executive support, with a track record of running polished, well-executed visits or events
Experience with badge and access control systems
Familiarity with California facility compliance requirements — Cal/OSHA, fire code, environmental permits, or hazardous waste management
Experience managing a workplace or facilities budget and driving vendor cost efficiency without sacrificing service quality
Startup or early-stage company experience, with comfort operating in an environment where processes are still being built and priorities shift quickly.

Heron Power provides competitive compensation (salary and equity) and benefits. The salary for this role ranges from $88,000 to $100,000 per year.
