Workplace & Recruiting Operations Specialist
Job Description
What We Do
Rillet serves accounting and finance teams. Our customers are the financial brains of their companies. Our job is to help them run the numbers with impossible speed, accuracy, and insight.
Rillet is an AI-native ERP that can drive a zero-day close. We are different because of our unified source-of-truth data model, hundreds of best-in-class native integrations (Stripe, Ramp, Salesforce, etc), automated & auditable workflows, multi-entity consolidation, and quickly expanding army of specialized AI agents (e.g., accrual, audit, P&L flux, board decks, etc). These earn us a consistently perfect customer satisfaction score. High-growth AI customers like Mercor, and Function Health love our ship velocity, because their financial stack needs to scale as quickly as they do.
This huge market is ours to take. We have raised $100M from leading investors (including Sequoia, a16z, Iconiq, Oak HC/FT, and First Round) to help everyone run their numbers at the speed of AI.
Who We Are
Rillet’s pace is not for everyone. Intelligence is table stakes. To succeed here, you need extreme speed, agency, and flexibility.
Successful Rilleteers do not wait for assignments. They internalize a mission, design a strategy, and bring back results that are better, faster, and more creative than a manager could have asked for.
Work revolves around our customers. Successful Rilleteers are energized by delivering the most important things, even those that weren’t in the original plan.
In this role, you do not need to be an accountant. But you do need to appreciate the value that our customers can create for their own company when we equip them with the perfect financial tools. Successful Rilleteers love powering the financial core of the world’s fastest-growing companies.
Who We Need
As a Workplace & Recruiting Operations Specialist on the People & Talent team, you will help build the operational foundation behind Rillet’s growth.
You will own the day-to-day experience of our NYC office, candidate coordination, recruiting operations, and new-hire onboarding. You will work closely with the People Ops Manager, recruiters, hiring managers, and IT to keep critical work moving while improving the systems behind it.
This is a role for a high-ownership operator who can independently turn ambiguity into action. You move with urgency, manage details exceptionally well, close loops, and create structure where a clear process or owner may not exist yet. As Rillet grows, so will the role. You will have the opportunity to expand your ownership across Workplace, Talent Operations, and People Operations while helping design how the company scales.
This is an NYC-based, highly in-person role. You must be within commuting distance of our NYC office or willing to relocate. You will be expected in the office Tuesday through Thursday and should be excited to work in person four to five days most weeks.
What You’ll Do
Own the day-to-day experience of our NYC office, including candidate visits, new-hire first days, team lunches, events, supplies, and the details that make the workplace organized, welcoming, and high-energy.
Run core recruiting operations, including interview scheduling, candidate communication, job postings, ATS workflows, funnel hygiene, and coordination across recruiters and hiring managers.
Drive onboarding and offboarding from start to finish, partnering with People Operations and IT to ensure every detail is handled accurately and on time.
Support essential People Operations work, including I-9s, employment verifications, HRIS updates, leave administration, compliance tasks, and time-sensitive employee requests.
Turn repetitive or unclear work into scalable systems through stronger documentation, practical AI automations, templates, workflows, and integrations across the People and Talent stack.
You will spend much of your time running critical operations exceptionally well while progressively taking ownership of the systems and processes that allow the team to scale.
Who We’re Looking For
You have three to five years of experience in recruiting operations, people operations, business operations, workplace operations, office management, or a similarly operational role.
You are highly organized and can manage multiple priorities with speed, accuracy, and strong attention to detail.
You take ownership, act without waiting for perfect instructions, and consistently close the loop.
You are comfortable with ambiguity and can turn unclear problems into practical next steps.
You communicate clearly, keep stakeholders informed, and document processes so others can move faster.
You are resourceful, curious, and excited to grow into broader responsibility as Rillet scales.
Experience with Ashby or another modern ATS is preferred. Experience with Rippling, Justworks, AI-powered automation, or an early-stage startup is a plus.

The starting base salary for this role in New York is between $100,000-$125,000 + target equity + benefits.
