Summary
The Depot Operations Specialist is the operational engine behind reliable, at-scale delivery — turning inventory accuracy and disciplined fulfillment into a competitive advantage for our service and project teams. This is a foundational, hands-on role in the standup of our new Mooresville, NC operation and a cornerstone of our strategy to build a Depot Service hub and center of excellence — a centralized home for inventory, imaging, staging, and fulfillment. As one of the first roles supporting this hub, the Specialist helps establish the operational discipline, accuracy, and consistency the center of excellence is built to deliver.
The role is On-Site in our Mooresville, NC office 5 days a week
Duties and Responsibilities:
Inventory Management & Accuracy
- Monitor inventory levels and maintain stock based on established minimum and maximum inventory thresholds.
- Procure stock items to ensure inventory availability while minimizing shortages and overstock.
- Conduct monthly physical inventory counts and reconcile discrepancies to maintain a reliable, accurate system of record.
- Process inventory adjustments and maintain accurate inventory records across all transactions.
- Manage client-owned inventory, including bin assignments and inventory system maintenance.
- Label inventory according to company standards and policies, and organize and maintain a clean, accurate, and efficient stockroom.
Receiving & Stocking
- Receive incoming shipments and verify contents against purchase orders and packing slips.
- Update the ERP/POS system with packing slip information and receiving details.
- Properly store inventory in designated warehouse or stockroom locations.
- Report damaged, missing, or incorrect shipments to the appropriate parties for timely resolution.
Order Fulfillment & Logistics
- Pick inventory for service tickets, projects, and customer orders.
- Stage equipment and materials for deployment, and notify the staging team when equipment is ready for provisioning.
- Package, ship, and track customer equipment and devices to ensure timely, reliable delivery.
- Maintain shipment documentation and tracking information to support end-to-end visibility.
Procurement & Quoting Support
- Assist with quoting and procurement overflow as needed to support the broader operations team.
- Review and triage procurement and quoting tickets, updating them with accurate notes and status changes.
- Identify and escalate stale or aging tickets requiring attention to protect service levels.
- Ensure all inventory and procurement activities are properly documented within the ticketing system.
Documentation & Cross-Functional Collaboration
- Maintain accurate documentation for inventory transactions, shipments, and procurement activities.
- Ensure tickets contain complete and timely updates reflecting current work status.
- Collaborate with service, projects, procurement, and warehouse teams to support operational efficiency.
- Communicate inventory shortages, delays, or issues proactively to keep stakeholders informed.
Qualifications and Experience
- High School Diploma - Required
- 1-3 years Experience in inventory management, purchasing, warehouse operations, or procurement - Required
Knowledge, Skills, and Abilities
- Strong verbal and written communication skills.
- Basic computer proficiency, including Microsoft Office applications.
- Proficiency with inventory management, ERP, POS, or ticketing systems.
- Excellent attention to detail and accuracy.
- Strong organizational and time management skills, with the ability to prioritize multiple tasks in a fast-paced environment.
Attributes that will drive success:
- Experience working within an MSP (Managed Service Provider) or IT services environment.
- Familiarity with procurement and quoting processes.
- Experience with inventory control software and barcode labeling systems.
- Knowledge of shipping carriers and shipment tracking procedures.
- Interest in helping build and scale a new Depot Service hub or center of excellence.
- Ability to stand, bend, reach, and walk throughout the workday.
- Ability to regularly lift and move equipment weighing up to 50 pounds.
- Ability to safely move inventory within a warehouse or stockroom environment.
